How do I configure Independent Mode in PhoneTools to work with my modem?

Note: These directions assume you have successfully installed PhoneTools. If you have not installed PhoneTools, you may do so using the Installation CD-ROM included with your modem.

Note: The features described here are not supported by all modems operating in Independent Mode. If the features are not supported, the corresponding controls are either hidden or grayed out.

Definition of Independent Mode

Modems operating in Independent Mode are capable of receiving and storing incoming faxes and voice messages when PhoneTools is not running, or even when the PC is off.

Monitoring the modem’s Independent Mode is performed through two different dialogue boxes: the Independent Mode Settings window (used for adjusting modem settings), and the Independent Mode Control window (used to establish Independent Mode functions).

Recording and selecting the greeting messages issued by the modem in Independent Mode

In Independent Mode, the modem manages two different internal greeting messages, the Standard message and the Memory Full message. The Standard Message is issued when the modem receives an incoming call and has sufficient memory to store a new message or fax. The Memory Full message is automatically issued when the modem’s memory is full. You can customize these two messages by modifying the recording associated to each message. You may either record a new message directly on the modem’s microphone or select a message provided with or recorded in PhoneTools.

Recording a message directly on the modem’s microphone

  1. Click Configure and select Independent Mode Setup.
  2. From the Greeting Message drop-down list, select the message (Standard or Memory Full).
  3. Click Record and verbally record your message in the modem’s microphone.
  4. Click Stop when you are finished recording your message.
  5. Click Play to play your message.

Note:< >If your modem does not support direct recording and playing of messages, the Play and Record buttons remain grayed out. In this case, use an announcement supplied with or recorded within PhoneTools.

Using a message supplied with or recorded within PhoneTools

  1. Click Configure and select Independent Mode Setup.
  2. From the Greeting Message drop-down list, select the message (Standard or Memory Full).
  3. From the Announcement drop-down list, select the PhoneTools message that will be downloaded on the modem to replace the existing selected greeting message.
  4. Click Download on Modem to download the selected announcement onto the modem.
  5. Click Play to play your message.
  6. Click OK to save the change, or Cancel to discard them.

Verifying Received Documents

When you open PhoneTools, Independent Mode is automatically disabled and the modem switches to Connected Mode. Connected mode is controlled by PhoneTools. If you receive documents while in Independent Mode, you will be notified by a message displayed by the application.

Downloading received documents to the Inbox

  1. Click Configure and select Independent Mode Setup.
  2. To download the received documents stored on the modem to PhoneTools Inbox, choose one of the following:
  • To transfer only the documents that have not been previously downloaded, click Download New Messages. If there are no new messages, this button will be grayed out.
  • To transfer all the documents stored on the modem’s memory, whether they are downloaded or not, click Download Messages.

Note:< >Messages are retrieved in a single operation and you cannot interrupt the transfer. As soon as the messages are retrieved, they appear in the Inbox as new messages.

Playing a specific stored message

  1. Click Configure and select Independent Mode Control. From this window, you can play the voice messages left by callers directly through the modem’s speaker. To do so, use the Play stored message commands.
  2. From the Msg # box, select or type the number assigned to the message you would like to play.
  3. Click Play to play the selected message. To interrupt the message play, click Stop.

Clearing the modem’s memory

  1. Click Configure and select Independent Mode Control.
  2. Click Clear Modem Memory.
  3. In the Clear window, select the type of documents you want to delete (faxes or voice messages).
  4. Click OK to save the changes or Cancel to discard them.

Enabling remote message retrieval

  1. Click Configure and select Independent Mode Setup.
  2. Click Advanced….
  3. Select Remote Retrieval.
  4. In the Access code field, enter the code to be dialed to remotely access received messages. This must be a four-digit code (letters excluded).
  5. Click OK to save the changes or Cancel to discard them.
